Canadian Email Providers

Compare Canadian-owned email providers offering business email, custom-domain mailboxes and personal email hosted in Canada. I look beyond the brand name to where email data is hosted, what the service includes and whether the provider publishes enough detail to verify its Canadian hosting claims.

What I Check

What Makes a Canadian Email Provider?

A Canadian company is only one part of the picture. For this page I also check where the email service is hosted, how mailboxes are accessed and what the provider publishes about privacy, security and data location.

01

Canadian Ownership

The provider is Canadian-owned or operated by a Canadian organization that can be reasonably verified.

02

Canadian Data Hosting

The provider publishes that email data, mail servers or the primary service is hosted in Canada.

03

Real Email Features

Custom domains, webmail, IMAP, aliases, calendars or collaboration tools are clearly documented.

04

Privacy & Transparency

Pricing, storage, security controls and the limits of the service are published clearly enough to compare.

Email routing can be different from website hosting. If you want to check a domain, start with the Is It Hosted in Canada? tool, then review the domain's mail records and the provider's published infrastructure details.

Canadian Data Residency

Why Keep Email Hosting in Canada?

Email can contain contracts, customer details, invoices, account resets and other sensitive business information. Keeping the primary mailbox platform in Canada can make data residency easier to document and gives Canadian organizations a more direct way to evaluate where that information is stored.

Server location does not automatically equal legal compliance or full data sovereignty. I separate the physical hosting location from company ownership and jurisdiction in my guide to data residency vs data sovereignty in Canada. For privacy obligations, the Office of the Privacy Commissioner of Canada also publishes guidance for businesses.

Data LocationKnow where the primary mailbox platform and backups are hosted before moving sensitive email.
Custom DomainsUse your own business domain instead of relying on a generic consumer address.
Canadian BillingCAD pricing makes recurring mailbox costs easier to budget for Canadian organizations.

The service is priced at $3 CAD per user each month and includes 5 GB of storage per mailbox. CanTrust states that the email platform is 100% hosted and backed up in Canada, which makes it one of the more direct options on this list for organizations that want a clearly documented Canadian email-hosting location.

The platform is built from open-source components including Postfix, Dovecot, Modoboa, SnappyMail, Radicale, ClamAV and SpamAssassin. That gives users standard mail access alongside webmail, calendar and contact features without depending on a large foreign productivity suite.

The advertised $5.49 CAD monthly rate is tied to a longer billing term, while shorter terms cost more. IMAP support keeps messages synchronized across Outlook, Apple Mail, Thunderbird, phones, tablets and other compatible clients, and the service also supports calendars and shared contacts through CalDAV and CardDAV.

WHC states that its professional email service runs in Canadian-hosted data centres. For Canadian small businesses that want a familiar local provider, CAD billing and a conventional custom-domain email setup, WHC is one of the more straightforward options to compare.

FAQ

Canadian Email Hosting FAQ

Common questions about Canadian-hosted email, business domains, IMAP, data residency and moving mail away from larger foreign platforms.

What is Canadian email hosting?

Canadian email hosting means the provider operates the mailbox service on infrastructure located in Canada. That is different from simply being a Canadian company. On HostScout I look at ownership and the published hosting location separately.

Are all of the email providers on this page Canadian-owned?

Yes. This page focuses on Canadian-owned providers or Canadian organizations offering email services. The product types vary significantly, from CanTrust's cooperative open-source service to NorthMail's personal and business email platform.

Can I use my own domain for Canadian business email?

Yes. CanTrust, WHC, FullHost, CanHost and NorthMail Business all support custom-domain email. That lets you use addresses such as name@yourbusiness.ca rather than a generic consumer mailbox.

Do I need to move my website to use a Canadian email provider?

No. Email and website hosting can be separated. You can keep your website with one provider and point the domain's MX and related DNS records to a different Canadian email service.

What is the difference between webmail and IMAP?

Webmail lets you open your mailbox in a browser. IMAP lets compatible apps such as Outlook, Apple Mail and Thunderbird synchronize mail with the server across multiple devices. Some lower-cost or free services reserve IMAP access for paid plans.

Can I use Outlook, Apple Mail or Thunderbird?

Most providers on this page publish support for standard email clients through IMAP, POP3 or SMTP. The exact setup depends on the provider and plan, so check whether desktop-client access is included before ordering.

Does hosting email in Canada make a business PIPEDA compliant?

No. Canadian data residency can support a privacy strategy, but it does not by itself create PIPEDA compliance. Businesses still need appropriate policies and safeguards for how personal information is collected, used, retained, accessed and protected.

Does every email message stay entirely inside Canada?

Not necessarily. A mailbox can be hosted in Canada while individual messages still travel across external networks or communicate with mail servers in other countries. Third-party spam filtering, backup systems and integrations can also affect where data is processed, so check the provider's architecture if strict residency is required.

Can I move email from Gmail or Microsoft 365 to a Canadian provider?

Usually, yes. Migration options vary. Some providers offer migration assistance, while others require an IMAP migration or manual import. Before changing MX records, confirm that old mail, contacts, calendars and aliases have been copied and that DNS records such as SPF, DKIM and DMARC are ready.

What should I check before choosing a Canadian email host?

Check mailbox storage, number of addresses, custom-domain support, IMAP or SMTP access, spam filtering, backup policy, migration help, DNS authentication, support hours, billing term and where the provider says primary email data and backups are stored.
